Description
We are seeking a Sr. Medical Office Coordinator for scheduling of complex OR cases for multiple GYN/OB physicians at ORs and ASCs across Johns Hopkins Medicine. This role serves as a liaison between the physician and the patient for procedure and pre/post operative appointment scheduling as well as sending out packets with surgical instructions. Great attention to detail and effective communication skills are essential for this vital role.Specific Duties & Responsibilities
- Professionally and efficiently handle all incoming requests from patients and ensure that issues are resolved promptly and thoroughly.
- Provide quality service and support in a variety of areas which may include, but not limited to scheduling, registration and care coordination.
- Schedule complex OR cases for multiple GYN/OB physicians at Johns Hopkins Bayview Medical Center, Johns Hopkins Hospital, Howard County Medical Center, White Marsh ASC and Greenspring Station ASC.
- Primary point of contact between physicians and patients.
- Review clinic schedules and make adjustments as appropriate to ensure appropriate patient access.
- Complex scheduling between physicians in various departments for patient surgical coordination.
- Assist in drafting and implementation of departmental operating protocols relating to surgery.
- Coordinate all pieces of patient care both pre- and post-op. This includes scheduling all preliminary exams, imaging studies, and pre-operative diagnostics in a timely fashion.
- Audit scheduled cases to ensure appropriate instrumentation/equipment and time requested is accurate.
- Routinely address complex situations based on past experiences, and knowledge of healthcare resources and they should be used. Examples may include working with VIP patients, work with international patients, and other unique scheduling situations.
- Coordinate insurance pre-authorizations and peer-to-peer/appeal instances as needed.
- Proofread communications to ensure accuracy and appropriateness.
- Draft communication to patients regarding upcoming procedures.
- Create forms for internal/external use for OR cases/patients.
- General office duties, mail, fax, typing, scanning.
- Cover for other surgical coordinators in their absence.
- Perform other duties as needed.
Special Knowledge, Skills & Abilities
- Requires good oral and written communication skills.
- Intermediate computer and proofreading skills required.
- Medical terminology required.
- Ability to execute decisions regarding patient and physician issues in a timely fashion with minimal error.
Minimum Qualifications
- High School Diploma or graduation equivalent.
- Three years progressively responsible medical office experience. Medical terminology required. Intermediate computer and proofreading skills required.
- Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Experience in within Johns Hopkins Medicine strongly preferred.
- Experience using Epic, specifically for surgical case scheduling.

Salary Range
The referenced salary range represents the minimum and maximum salaries for this position and is based on Johns Hopkins University's good faith belief at the time of posting. Not all candidates will be eligible for the upper end of the salary range. The actual compensation offered to the selected candidate may vary and will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, internal equity, market conditions, education/training and other factors, as reasonably determined by the University.

Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination.
