Description
As one of the largest Anthropology departments in the country, our program engages the breadth of the discipline. We look to the human future with an understanding of the complexities of our heritage, the biology, knowledge, rights and artifacts that represent both continuity and transformation in the human condition. Our concern with heritage integrates the traditional subfields of anthropology in which we do research: archaeology, bioanthropology, linguistic anthropology, and social-cultural anthropology. We work at sites throughout the world, in diverse ecological systems and time frames, providing a wealth of educational opportunities for all our students.We offer undergraduate and graduate training that prepares students to meet the challenges of our changing world. We encourage critical thinking, effective writing, and development of practical skills that fit individual interests. Our program provides excellent opportunities for students at all levels to apply their knowledge and conduct hands-on research and study a wide range of topics through coursework, field schools, colloquia, and research projects with faculty and centers across campus. Our graduates have found work in business, government, and nonprofit organizations as well as educational institutions.
Geography is in every element of our lives, helping us to understand the "why of where." Geographers examine relationships between people and places, society and nature, and the causes and consequences of environmental change. Geography answers questions spanning the local to the global, in the past, present, and future.
Geography is an interdisciplinary field. It is one of the few disciplines that brings together the physical and social sciences. The study of geography equips you with knowledge and skills to understand and address critical problems facing the world today. Our classes deal with the pressing issues of our time, from climate change and water quality to racism, sexism, and economic inequality.
Our Geography department is the principal location of training in GIS and Remote Sensing at Indiana University Bloomington. We offer a variety of programs designed to meet the needs of undergraduate and graduate students in this vital technical field.
Job Summary
Department-Specific Responsibilities
- Provides administrative assistance in both the Geography and Anthropology offices. Housed within the Geography main office, this position interfaces with front office staff in Geography and Anthropology regularly, in addition to graduate students and faculty. Because the role is embedded in multiple units, each with their own policies and procedures, faculty, and graduate students, a heightened level of responsibility and authority to conduct graduate affairs administration is expected. In addition to departmental duties.
- Liaises with members of the College Graduate Office (CGO) to provide support for new graduate staff through informal mentoring opportunities and as an active participant in the CGO's graduate staff-oriented professionalization activities.
- Responds to issues and challenges that might arise within those shared graduate student spaces, working with respective departmental administration.
- May be asked to arrive early or stay late during departmental events, receive mail, and devise a system/coordinate the assignment of graduate student space within and across the Student Building.
- Assists Chair of the AI Committee with funding applications and advise on departmental policy.
- Tracks graduate student funding and awards.
- Completes national and internal surveys regarding student funding.
- Produces offer letters for departmental funding (admissions, SAAs, and fellowships).
- Enters HRMS hire edocs and I-9s for AC3 student academic appointments and departmental fellowship awards (such as paper presentation awards and summer research fellowships).
- Assists the Chair of the Graduate Affairs Committee (DGS) with the collection of award applications and the submission of the department's nominations for College and Graduate School awards.
- Advises faculty and graduate students on relevant policies and procedures vital to student success.
- Serves as liaison between the graduate program and relevant University offices.
- Writes and submits retroactive registration requests and late off campus registration requests.
- Directs students and assists DGS with reinstatement to candidacy requests, transfer of graduate credit, revalidation of courses, extension of incomplete grades, double PhD major forms, etc.
- Advises students on best use of fee remissions. Determine eligibility for G901 and off campus A800 (research credit hours).
- Designs and maintains a database to track degree milestones, primary sources of funding, academic advisors, ethnicity, incoming year, subfield and program, funding commitments, degree completion, job placement.
- Completes, edits, and approves University Graduate School forms: applications for MA degrees, Nominations to Candidacy, Nominations of Research Committees, Announcements of Final Defense, and Application for Commencement.
- Assists DGS with 1st and 2nd year academic review letters and with post-qualifying exam students' review letters.
- Maintains the department's library of Theses and Dissertations.
- Maintains grade rosters. Confers degree completion and enter grade changes.
- Collects job placement data for recent graduates and report to College as needed.
- Assists the Chair of the Graduate Admissions Committee.
- Coordinates staff in the preparation of the electronic application files, international documents, scanning of transcripts, etc.
- Produces IUIE reports. Prepares admission letters.
- Assists with the department's nominations for multi-year funding awards.
- Assists DGS and chair with welcome letters and Graduate Program Orientation.
- Assists with administrative needs related to the daily operations, planning, and implementation of various or multiple student services initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
- Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
- Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports. Accurately maintains student records and databases.
- Provides directions, support, and information to student organization representatives and other visitors to the department.
- Assists with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, or other materials.
- Assists with ordering or creation of promotional materials for student organizations or departmental needs.
- Takes on tasks of increasing complexity, such as performing benchmarking research of student services initiatives at other higher education institutions or designing routine surveys to gauge student satisfaction and program effectiveness.
- May provide guidance to other Student Services Coordinators.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
