D.A.P. | Distributed Art Publishers, Inc. is the world’s premier distributor of books on the visual arts from major museums, international publishers, galleries, and indie small presses. We are now seeking a new Operations Director to manage inventory and oversee warehousing. This vital operational role sits at the critical juncture between D.A.P.’s international consignment book publishers, the company’s warehousing and fulfillment provider Ingram Publisher Services (IPS), and our US and international customer base of bookstores, gift stores, and national accounts.
The Operations Director is D.A.P.’s key contact with the inventory departments of the 150 U.S. and international imprints distributed by D.A.P. Our clients include major American and European museums; international art, photography, architecture, and design publishers; and cutting-edge small presses. Most titles distributed by D.A.P. are printed in Europe or Asia, and the Operations Director oversees all inbound and outbound freight operations.
Managing D.A.P.’s warehousing and fulfillment relationship with Ingram Publisher Services (IPS) is the core responsibility of the Operations Director. The position oversees IPS performance on behalf of D.A.P., including timeliness and accuracy of inventory receipts, order management, freight, and shipping processes.
Internally, the Operations Director works closely with both the Sales Director and the Publisher Services Department. Key responsibilities include projecting inventory needs for forthcoming titles, setting publication dates, ensuring timely delivery for events and signings, and identifying restocking needs.
In this pivotal position, clear communication with all stakeholders is key: the ideal candidate will have excellent written and verbal communication skills, a calm demeanor under pressure, and the ability to prioritize stakeholder needs while factoring in the costs of noncompliance or special fulfillment requests.
Key Responsibilities
Oversee day-to-day operations at IPS on behalf of D.A.P., including timeliness and accuracy of inventory receipts, order management + consolidation, freight + shipment processes, vendor compliance, and information workflows.
Spearhead operational efficiency projects with internal stakeholders as well as third-party suppliers to streamline workflows.
Reduce overstock expenses.
Document and meet customer and client requirements, including needs around freight management, carton packaging, labeling, shipping requirements, and “need-by” delivery dates.
Partner with customer service and logistics teams to support customers, including management of returns, damages, online ordering, and fulfillment requirements.
Develop and execute analytic reporting to identify any inefficient or costly workflow issues.
This is a hybrid position Mondays and Fridays remote and Tuesdays, Wednesdays, and Thursdays in our New York office in Manhattan’s Financial District. The possibility of fully remote work can be discussed.
Skills, Knowledge, and Experience Required
Book Publishing: Must have at least five years of print book publishing or book retailing or purchasing experience with three or more years of work with print run and reprint projections
Fulfillment Management Experience: Three years of experience managing operations
Freight In: The ideal candidatw will have knowledge of working with international freight providers and customs brokers
Excel Skills: Must demonstrate fluidity with pivot tables, lookup functions, data imports, and intermediate functions
