Job Description
The Nursing Department Office Manager fills the overall secretarial role for the nursing department. The position involves extensive personal interaction with faculty and staff, as well as with students, other college staff, and the general public. The successful candidate must be willing to grow with the position and develop more efficient administrative processes as resources allow in order to facilitate the daily operations of the department, department chair, & the faculty and staff.
- Manage student applications to the nursing major and new student orientation
- Manage criminal background check procedure and reports for nursing students
- Organize health immunization clinics and maintain reports for students and faculty.
- Manage health immunization procedure and reports for students and faculty
- Organize CPR classes and CPR records for students and faculty
- Manage transfer of immunization and CPR records to clinical agencies and to ACEMAPP software for clinical placements
- Manage affiliation agreements to clinical agencies
- Manage student applications for state licensure and alumni applications for changes in state licensure
- Assist chairperson and faculty in ongoing accreditation activities
- Assist chairperson in annual report to state boards of nursing and the college annual report
- Manage departmental budgets
- Hire and supervise office student workers
- Maintain nursing department web page
- Manage the orientation of new hires to departmental office procedures
- Assist department chairperson and curriculum practicum director with graduate, alumni and employer surveys
- Participate and take minutes at departmental meetings
- Assist with honors convocation awards, guest speakers, social activities, pinning ceremony, Sigma Theta Tau Honor Society induction, and nursing research poster symposium
- Order supplies for the nursing department
- Manage room reservations for nursing events
Qualifications
- Must be a high school graduate, college education preferred
- Excellent interpersonal and relational skills
- Excellent organizational skills
- Good critical thinking skills
- Strong oral and written communication skills
- Must be proficient with Microsoft Office software, familiarity with web design software desired
Physical Demands
This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities.
