Description
The Membership Coordinator is responsible for shaping and executing a comprehensive, multi-channel membership program for Myriad Botanical Gardens (MBG) and Scissortail Park (SP). This position focuses on growing and retaining members at all levels—individuals, businesses, and corporations—while deepening engagement and feeding a pipeline for future donor opportunities. Working across departments, the Membership Coordinator ensures excellent customer service and meaningful experiences for members, ultimately supporting the broader mission and development goals of both organizations.
Requirements
Essential Duties & Responsibilities:
Member Communications & Engagement (50%)
Design and implement strategies to acquire new members, renew existing ones, and re-engage lapsed members.
Develop appeals and targeted communications for acquisition, retention, upgrades, and re-engagement.
Produce and manage printed and electronic communications, ensuring timely and mission-aligned content.
Write and regularly refresh renewal letters, welcome materials, and acknowledgment content.
Coordinate multi-channel campaigns (mail, email, web) for membership outreach and stewardship.
Maintain and fulfill member benefit offerings, including welcome packages.
Membership Program Development (20%)
Develop and manage corporate membership strategies, including benefit fulfillment and renewals.
Evaluate the effectiveness of membership offerings and propose enhancements.
Cultivate community partnerships to expand membership benefits (e.g., reciprocal programs, discounts).
Plan and execute exclusive member events.
Database & Administration (20%)
Ensure accurate and timely data entry in the donor/membership database.
Research and update contact information for returned mail and lapsed records.
Manage membership materials inventory and coordinate with the Marketing team for address updates (e.g., NCOA).
Generate membership reports to track campaign performance, growth, and revenue progress.
Collaboration & Training (10%)
Collaborate with Guest Services to train front-line staff in effective membership sales techniques.
Partner with departments across MBG and SP to align membership with broader engagement goals.
Actively contribute to Development team strategy sessions and revenue-building initiatives.
Qualifications
Education & Experience
Bachelor’s degree or equivalent professional experience.
Minimum of one year of experience in membership, marketing, sales, or a related field.
Skills & Abilities
Proven success in marketing or sales, preferably in a nonprofit or cultural organization.
Excellent writing and communication skills, with the ability to tailor messages to various audiences.
Strong organizational and project management skills with the ability to meet deadlines.
Comfortable working with membership/fundraising databases; experience with mail merges required.
Ability to multitask, adapt to changing priorities, and manage confidential information with discretion.
Commitment to collaboration, customer service, and organizational mission.
Technical Proficiency
Intermediate proficiency in Microsoft Office Suite (especially Word and Excel).
Familiarity with donor/membership databases preferred (e.g., Blackbaud, Altru, DonorPerfect, etc.).
Experience with standard office equipment.
Other Requirements
Valid Oklahoma Driver’s License
Availability to work occasional evenings and weekends for events and member programs.
Work Environment
Must be able to work both indoors and outdoors. Some locations visited while executing job duties may not be wheelchair accessible; some time may be spent outside. Must be able to work occasional nights and weekends.
Physical Requirements
Must be able to sit for extended periods.
Must be able to bend, stoop, and lift on occasion.
Must be able to climb stairs.
Must be able to walk from the office building to the Garden and/or Park facility.
