A day in the life.
As our Meetings & Events Operations Specialist on the Meetings & Events team, you'll support our team with Cvent administration and the coordination of simple meetings. This role is ideal for someone looking to grow in the meetings and events industry while gaining hands-on experience with event technology and internal processes.
Cvent Administration:
- Manage incoming meeting requests through the Cvent platform.
- Monitor and update event workflows within Cvent to ensure timely progress.
- Generate and distribute standard reports as needed.
Internal Meeting Workflow Management:
- Oversee the internal meeting approval process, ensuring all required documentation and approvals are obtained.
- Track meeting status and follow up with requesters and approvers as needed.
- Maintain accurate records of meeting requests and approvals.
Simple Meeting Coordination:
- Support logistics for small-scale meetings, including venue booking, catering coordination, and basic AV needs.
- Communicate with internal stakeholders to confirm meeting details and requirements.
- Assist with preparing meeting materials and ensuring smooth execution.
- Create and manage budgets for self-service meetings, including tracking expenses and reconciling costs post-event.
Team & Administrative Support:
- Maintain shared resources and templates related to meetings and events.
- Monitor and manage the McGriff Meetings and Events email box, ensuring timely responses, proper filing, and organization of incoming communications.
- Organize and manage shared meeting folders to ensure consistent structure, easy access, and version control.
- Assist with vendor communications and invoice processing.
- Attendee Management for events
- Assist planners with event closeout and reporting
- Provide general support to the Meetings & Events team as needed.
Our future colleague.
We'd love to meet you if your professional track record includes these skills:
- 2-4 years of experience in event planning, administrative support, or related field.
- Demonstrated experience with Cvent and willingness to learn event management platforms.
- Strong attention to detail and organizational skills.
- Effective written and verbal communication abilities.
- Ability to manage multiple tasks and meet deadlines.
These additional qualifications are a plus, but not required to apply:
- Experience with Microsoft Office Suite and virtual meeting platforms (Zoom, Teams).
- Customer service mindset and a collaborative attitude.
- Interest in growing within the meetings and events industry.
