- Executive and Human Resources Assistant
Description
The Indian Trails Public Library District (ITPLD) is seeking a professional, organized, and dynamic individual to provide administrative and project support to the Executive Director and to Human Resources. The ideal candidate will be diplomatic, proactive, detail-oriented, flexible and have the ability to handle confidential information and documents as well as enjoy working in a collaborative work environment.
Some of the job duties include:
- Assists HR Manager on a wide variety of day-to-day administrative tasks and with a variety of human resource programs, procedures and projects.
- Assists with recruitment activities such as posting jobs, scheduling interviews, interviewing and selecting candidates for non-exempt jobs under the supervision of the HR Manager.
- Assist with new hire orientation including the completion of new employee paperwork.
- Responds to employee questions and escalates as appropriate to the manager.
- Create and maintain HR files and a variety of reports and databases.
- Assists with open enrollment and benefits inquiries.
- Participates on the Staff Institute Day committee and other committees.
- Handles distribution of all volunteer applications.
- Provide support for a variety of administrative tasks for the Executive Director including managing calendar appointments, completing expense reports, and preparing and composing correspondence that may be confidential.
- Assists the Executive Director with preparation of Board and committee meetings including preparing meeting agendas and reports as well as taking meeting minutes.
- Attends Board, committee and other meetings as requested.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive Director, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response under the direction of the Executive Director.
- Handles distribution and organization of comment cards and on-line comments.
- Compiles information and sends out the daily Post.
This opportunity requires:
- High school diploma and/or relevant certification plus a minimum of 3 years relevant experience.
- The ability to communicate effectively, use good judgment in the decision making process and work both independently and as part of a team.
- Ability to maintain confidentiality.
- The knowledge and ability to use computers and relevant software and equipment including but not limited to Microsoft Office 365 products.
- Ability to move about the library and work areas, lift materials of a variety of sizes up to 35 pounds, to answer telephones, to read computer screens and paper documents such as invoices, manipulate a computer mouse, and type accurately.
- Ability to work independently, with interruptions while maintaining a positive demeanor.
- Must have reliable transportation and be able to work days, evenings, weekends, and holidays.
Hourly rate of $21.33 - $24.00. The library has a comprehensive benefits package which includes mandatory participation in Illinois Municipal Retirement Fund (IMRF) pension plan. Additionally, the position is eligible for medical, vision, dental, flexible spending accounts, eligible to participate in the 457(k) retirement plan, as well as vacation, sick time, floating holidays, jury duty and bereavement time and employee assistance program (EAP). In addition, eligible to apply for educational assistance after 1 year of employment. The library supports continued learning and professional growth.
