We are seeking a motivated Database Management Specialist ready to take MSUB Foundation and Alumni to the next level! This role will maintain and manage our donor database using Raiser’s Edge software (Blackbaud) – overseeing all aspects of donor information, data integrity, queries, and the production of reports.
Duties and Responsibilities:
Data Management and Integrity
- Ensures adherence to ethical standards and legal compliance with all relevant data protection and privacy regulations.
- Develop and manage effective data entry protocols to ensure data consistency across the institution.
- Oversees and actively participates in information entry and works with the staff to develop a comprehensive and up-to-date database ensuring the accuracy and security of all biographical data entries.
- Assumes primary responsibility for the integrity of the database by correcting misinformation and fact checking current data.
- Collaborates with colleagues to ensure all donors receive accurate, timely and consistent gift receipts. Also, processes matching gift entries and associated paperwork.
- Executes updates after collaborating with Stewardship Coordinator to ensure individual database files are established for current and past scholarship recipients for tracking as future donors.
Financial Processing, Research and Reporting
- Receives all checks and organizes them for entry and deposit.
- Generates accurate and timely reports to support fundraising and decision-making processes. Produces ad-hoc queries in response to requests from staff and Finance (ie: audit).
- Leads the research for new donor prospects utilizing online databases, the internet, and library reference sources. Communicates information on businesses, wealth, associations and interests to appropriate advancement/development staff and/or University representatives.
Training and Support
- Provides training and support to team members on database use and best practices.
- Establishes and maintains a procedures guide for gift acceptance and receipting.
- Develops user guides and documentation to assist staff in effectively utilizing the database. Mentor staff on how to make notes or use database fields to enter documentation that aids Database Management Specialist in deciphering appropriate gift documentation to be generated.
- Facilitates training sessions for development/advancement team and university prospect managers on the effective use of research tools and resources and integrates research into fundraising strategies.
Operational Support, Collaboration and Communication
- Supports all MSUB Foundation & Alumni events with data entry (including event participants), communications, and may assist with development of promotional materials to be used at event as needed.
- Supports the execution of bulk mailings and donor correspondence on an as-needed basis.
- Assists in coordinating a grants calendar for upcoming grant deadlines, writing, administration, and reporting.
- Manages all gift receipting and partners with the Stewardship Coordinator to ensure Foundation is delivering compliant tax receipts.
- Responsible for generating monthly honor/memorial letters, donor reports for University Deans, and donor birthday cards, and pledge reminders.
- Provides information, as requested, for Foundation or Alumni publications.
- Adheres to all organizational policies and procedures.
- Maintains confidentiality at all times.
- Performs other duties as assigned by the Director of Annual Giving and/or CEO.

Job Type:
- Professional Full-Time; Annual Starting Salary between $55,000 - $60,000
- Exempt Status; Typically 8 to 5 p.m. Monday thru Friday – occasional weekends and evenings as job duties demand.
- This on-site position is based in Billings, Montana.

Requirements
Education and Experience:
- Bachelors’ degree
- 3+ years of donor database experience is preferred
- Previous experience with Raiser’s Edge software (Blackbaud) is strongly preferred; experience with other nonprofit fundraising data management software will be considered
- Organized, including good time management skills and ability to think critically
- Driven individual who is highly meticulous, has excellent attention to detail, and experience with gift processing
