A.T. Still University's Arizona School of Dentistry & Oral Health (ATSU-ASDOH) is seeking a full-time exempt Director of Business Operations and Clinic Analytics on the Mesa, Arizona campus. The individual in this role will be responsible for overseeing the day-to-day business operations of ASDOH's administrative and clinical functions. This position will provide leadership to the business operations team, including finance and human resources, and will manage all financial, administrative, and HR-related activities within the school. Additionally, the role includes technical oversight and support for financial reporting and analytical systems that serve the ASDOH dental clinics. The individual will play a key role in developing and implementing data analytics systems to support informed decision-making by faculty, administration, and the university. These systems will enhance the evaluation of departmental and clinical performance in relation to student outcomes, faculty activities, patient care, business operations, and educational goals.
Duties & Responsibilities:
Finance and Accounting
- Daily oversight of the clinic revenue cycle management process including patient deposits, adjustments, refunds, bad debt and management of the clinic revenue cycle management 3rd party vendor relationship.
- Daily oversight of procurement processes, including timely approval of purchase orders up to $5,000.
- Daily oversight and auditing of A/R, A/P, travel reimbursement, and payroll processing.
- Monthly reconciliation and audit of clinic financials and clinic inventory to general ledger reports from finance department.
- Monthly tracking and reconciliation of grant, donation, and project budgets.
- Monthly and quarterly creation of financial dashboard metrics and KPIs, and completion of status reports (payor mix, OIG).
- Annual budget development, proposals, submission, and implementation processes between school and university.
Human Resources
- Daily oversight of HR processes including new hires, terminations, faculty contracts, and status updates.
- Monthly oversight of HR tracking updates and reporting for administration (faculty FTE, 0.5> faculty senate, etc.).
- Annual oversight of adjunct faculty contract renewal process.
Analysis and Documentation
- Create, implement, and maintain reports, metrics, and dashboards as directed by dental school administrators, faculty, and university.
- Analyze and document existing business processes and improve those processes.
- Investigate reporting issues and problem areas and take necessary actions to address and come to a resolution.
- Conduct training and education sessions to standardize data input processes and improve data integrity and tracking.
Tracking, Communication, and Reporting
- Annual completion of ADEA CODA faculty survey section on finance.
- Annual completion of Dean's Annual Report metrics in cooperation with HR.
- Maintain tracking systems and spreadsheets for all clinic, finance, and human resource data.
- Develop, manipulate, and maintain clinic dashboards for school and university administrators.
- Ongoing tracking and auditing of ASDOH contract policy compliance
Leadership & Team Development
- Act as a liaison between the school and university for business-related needs.
- Assist in evaluating new processes and implementing them through the operations teams.
- Mentor and coach operations team to promote continuous quality improvement.
Other duties as assigned.
Requirements
Education & Experience:
- MBA, MHA, Accounting, Finance, Organizational Management, Business Analytics, Data Analytics, or equivalent years of experience.
- Minimum of 5 years of experience in business, finance, analytics, or organizational management required, preferably in a clinical setting.
- Ability to analyze, interpret, and effectively communicate financial information to audiences not well-versed in finance terminology.
- Ability to make sound budgetary decisions with minimal input and short turnaround times.
- Ability to solve practical problems, sometimes under great pressure and tight deadlines.
- Experience in managing and balancing multiple projects simultaneously.
- High degree of confidentiality.
- Advanced MS Excel, Power BI or other data analytics programs, Qualtrics, Google, and MS Suite.
