- After-Hours Coordinator
Description
Primary Function
The After-Hours Coordinator serves as the welcoming presence of the Oklahoma Center for Nonprofits during evening and weekend events. This position ensures that visitors, members, and guests receive excellent customer service while also maintaining the security and smooth operation of the facility after regular business hours.
Essential Functions
Front Desk & Administrative Duties
- Greet and welcome visitors in a warm, friendly, and professional manner;
- Maintain front office security and visitor protocols, logging guests appropriately; and
- Keep the reception area clean, organized, and inviting.
Common Area Oversight
- Monitor and maintain cleanliness of common areas, including the kitchen and front welcome/reception area;
- Keep the reception area neat, organized, and professional in appearance;
- Communicate with facilities or custodial staff regarding deep cleaning or maintenance needs; and
- Support a professional, welcoming environment for both staff and guests by maintaining order in shared spaces.
Event Support Responsibilities
- Coordinate with internal staff to ensure accurate event bookings and logistics;
- Support preparation of materials or information packets for clients as needed; and
- Ensure event spaces are presentable during tours and assist with basic room setup when necessary.
Member Booking Coordination
- Utilize the Skedda platform to view scheduling and tracking member bookings; and
- Help maintain consistency in bookings, preventing conflicts and ensuring clear communication between departments.
Requirements
Qualifications
- High school diploma or equivalent required
- 1+ year of administrative, customer service, or event coordination experience preferred
- Excellent verbal and written communication skills
- Strong interpersonal and hospitality skills with a customer-focused mindset
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with event scheduling software is a plus
- Well-organized with attention to detail and the ability to multitask effectively
- Ability to remain calm and professional in a fast-paced environment
- Flexible and proactive in responding to evolving responsibilities
Work Environment & Physical Demands
- This role requires prolonged periods of sitting and working on a computer
- Must be able to walk clients through large spaces and occasionally lift or move up to 20 lbs.
- Standard office setting with regular public interaction
