Reporting to the Senior Manager Accounts Payable, the AP Analyst will be responsible for ensuring timely and accurate processing of vendor invoices, maintaining vendor relationships, and supporting purchase order (PO) management. The AP Specialist will play a critical role in the day-to-day activities of the accounts payable function, including invoice entry in NetSuite and follow-up with business owners and vendors.
This role is based in our Waltham, MA headquarters. Our office-based employees are required to work in the office three (3) days a week.
Responsibilities (including, but not limited to):
- Enter vendor invoices into NetSuite with accuracy, ensuring proper coding
- Match invoices to purchase orders
- Monitor accounts payable mailbox
- Review and verify invoice details, ensuring compliance with company policies
- Resolve discrepancies with vendors and internal personnel
- Follow up with business owners to obtain necessary purchase order information
- Monitor open purchase orders and ensure proper funding
- Collaborate with Procurement and FP&A to resolve PO-related issues
- Monitor AP aging reports
- Respond to vendor and internal inquiries regarding payment status
- Ensure adherence to internal controls and company policies
- Support 1099 year-end reporting and compliance
Requirements
- 2+ years of accounts payable experience
- Associate or Bachelor’s degree in Accounting, Finance or related field. Equivalent professional experience will also be considered.
- Strong preference for proficiency with NetSuite, will consider other similar ERP systems
- Understanding of AP processes and internal controls
- Excellent attention to detail and organizational skills
- Strong communication and interpersonal abilities
- Proven mindset of proactive continuous improvement
- Efficient independent worker with ability to focus and drive for results
- Ability to work in a fast-paced environment and to handle multiple tasks
- Strong commitment to ethical standards
- Proficient with Microsoft Office suite (i.e., Word, PowerPoint, Excel, Outlook, SharePoint, etc.)
- The salary range for this position is commensurate with experience
