Description
The Office of Student Affairs is seeking to fill a vacant Coordinator position who will be responsible for working directly with Students, Alumni, Faculty, and senior Administration within the Office of Student Affairs. The Office of Student Affairs is a department that expects its staff to have growth mindsets. Always looking for a challenge and to elevate and improve upon. Student Affairs looks for staff members who have both excellent customer service skills and strong IT and computer literacy. This position will be expected to work daily with highly sensitive confidential data. The Office of Students Affairs expects the coordinator position to represent the organization favorably by utilizing sound judgement and critical thinking throughout all aspects of the job responsibilities. The coordinator position is responsible for multiple functions within the Office of Student affairs, it is imperative that the candidate be well organized, efficient, and have the ability to multi-task with minimal oversight / supervision.Benefits (Exempt Regular):

Primary Duties:
Administrative Support:
- Serve as a primary point of contact for student affairs inquiries.
- Serve as a point of contact for the Associate and Assistant OSA Deans; including, but not limited to, setting up 1:1 student advising and support appointments, reserving rooms for meetings, ordering food for events, etc.
- Maintain confidential student records in compliance with FERPA and institutional policies.
- Help maintain student affairs website and handbook updates and edits.
- Assist in the answering of emails and organization of the student affairs Outlook inbox.
- Provide administrative assistance related to Student Awards and the Student Awards Ceremony.
Student Service Support and Program Coordination:
- Assist in the onboarding and welcome to medical school week for the first-year students.
- Responsible for scheduling and coordination of annual mask fit testing of all medical students and tracking compliance. Requires creating and monitoring sign-ups, coordination with UMB Student Health, UMB Environmental Health and Safety (EHS), and the University of Maryland Medical Center (UMMC) safety office.
- Help coordinate annual white coat ordering, sorting, and dry cleaning.
- Oversee any 2nd, 3rd & 4th year student onboarding tasks and other student needs as they elevate to the next level.
- Help organize the onboarding of the rising third-year clinical students.
- Organize and support co-curricular programming, including wellness initiatives, career advising events, and student leadership development.
Student Organizations:
- Responsible for assisting with requests made on behalf of UMSOM student organizations and interest groups. Requests may include assistance related to fundraising activities, student group expense reimbursements, and campus event coordination.
- Assists with the coordination of class elections in a timely manner while ensuring conformity with UMSOM policies and procedures.
Other Duties:
- Perform other duties as assigned to support the mission of the Office of Student Affairs.
- This position is responsible for making any necessary revisions to any of the above processes to not only increase the outcome quality but make them more efficient as well.
Qualifications:
Education: Bachelor's degree in Business Management or related field.
Experience: Prior related administrative experience in which program coordination is the primary responsibility
Other: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 undergraduate college credits being equivalent to one year of related experience. In instances where specific education and/or experience is required only directly related education and/or experience may be substituted.
Clery act designated job as campus security authorities (CSA) member and will comply with Clery Act requirements.
Hiring Range: $53,000 - $60,000, commensurate with education and experience
